  • Accounting Assistant (6 month contract)

    Qualifications

    •Diploma or certificate in Accounting, Business Administration, or related field.

    •1–3 years of accounting experience, preferably in non-profit, healthcare, housing, or public sector environments.

    •Experience with accounts payable and reconciliations required.

    •Strong proficiency in accounting software, experience with GP Dynamics an asset.

    •Intermediate to advanced Excel skills

    •Attention to detail 

    •Ability to Manage Competing priorities and deadlines

    •Strong communication and customer service skills

    •Ability to maintain confidentiality and handle sensitive information with discretion


    Responsibilities

    Financial Support & Reconciliations

    •Assist the Financial Analyst with monthly, quarterly, and year-end reconciliations (petty cash, resident trust, vendor accounts, credit cards, etc.).

    •Support preparation of audit schedules and documentation for external auditors.

    •Assist with variance analysis and data gathering for Ministry of Long-Term Care (MLTC) and Ontario Health (OH) reporting.

    •Maintain accurate and organized financial records in accordance with retention policies.


    Accounts Payable

    •Process vendor invoices in accordance with organizational policies and funding guidelines.

    •Verify coding, approvals, and supporting documentation for accuracy and compliance.

    •Prepare weekly cheque/EFT runs and ensure timely payments.

    •Maintain vendor files.

    •Respond to vendor inquiries and resolve discrepancies.


    Resident & Tenant Financial Administration

    •Support billing processes for resident accommodation fees, retirement home charges, and ancillary services.

    •Provide courteous and confidential support to residents, families, and staff regarding financial inquiries.

    General Administrative & Finance Support

    •Prepare and enter journal entries as directed.

    •Support the Finance team with special projects, data entry, and reporting.

    •Contribute to continuous improvement of financial processes and internal controls.



    Wage: $25.00- 30.39 per hour

  • NOHFC – Procurement and Inventory Assistant Internship

    Scope: The Ontario Finnish Resthome Association (OFRA) Procurement and Inventroy Assistant Intern will participate and assist in the planning, coordination, and execution of the organization’s procurement activities. These activities include supporting RFP and vendor selection processes, ensuring compliance with sourcing regulations, and assisting with inventory management and documentation. This position provides new graduates and individuals new to the workforce with the opportunity to gain practical, hands-on experience in procurement processes while developing foundational skills applicable to a variety of administrative and supply chain career paths.


    Reporting to:  Purchasing and Marketing Agent


    Classification:  Full-time, primarily regular business hours. This is a one year paid internship position made possible by the Northern Ontario Heritage Fund Corporation. 


    Required Skills:


    •Strong organizational skills with attention to detail and accuracy

    •Proficiency with computer systems and data entry

    •Ability to learn and follow policies, procedures, and regulatory requirements

    •Strong communication and interpersonal skills

    •Comfortable working with electronic inventory systems, scanners, and related technology (training provided)

    •Ability to work independently as well as part of a collaborative team environment

    •Professional, respectful, and service-oriented approach when interacting with staff across departments


    Responsibilities:


    •Assist with sourcing and ordering products in accordance with organizational needs and approved suppliers

    •Monitor inventory levels using the electronic inventory management system to support accurate tracking and timely replenishment

    •Enter new inventory items into the system and assist in maintaining appropriate stock levels

    •Support the development and documentation of inventory dispatching, tracking, and record-keeping policies and procedures

    •Provide hands-on assistance and guidance to nursing, personal care, and maintenance staff on the use of the inventory system, including scanning products in and out

    •Support vendor relationship development by assisting with communication, documentation, and follow-up with existing suppliers under supervision

    •Participate in vendor evaluation and selection activities from a learning and development perspective, including reviewing product information, pricing, service levels, and compliance requirements

    •Gain exposure to procurement best practices, including ethical sourcing, supplier performance considerations, and regulatory requirements


    Qualifications:


    •Currently enrolled in or recently graduated from a program in Business Administration, Supply Chain Management, Procurement, Logistics, Health Administration, or a related field

    •This internship must be the candidate’s first full-time position in their field of study 

    •Candidates must be legally entitled to work in Canada


    Note that the candidate selected for this internship placement will not be hired until a confirmation of eligibility has been provided from NOHFC.

  • NOHFC – Foundation Marketing & Fund Development Intern

    The Ontario Finnish Resthome Foundation is currently recruiting for a NOHFC Foundation Marketing & Fund Development Intern position that reports to the Marketing & Purchasing Agent and Fund Development Coordinator. This is a 1 year paid contract position.

    Qualifications:

    •Post-secondary education in marketing, advertising, and/or public relations. 

    •Experience with design and content writing of advertising and marketing material for direct mail, web, and various Social Media platforms (Facebook, Instagram, LinkedIn, etc.). 

    •High proficiency in design and marketing software such as Canva, Mailchimp, and/or Adobe Suite, or equivalent.

    •Proficiency in Microsoft Office Suite, Excel and Outlook is required.

    •Courteous, enthusiastic and comfortable working with seniors as well as the general public on a daily basis.

    •A self-starter and quick learner, committed to achieving goals with excellent personal and written communication skills.

    •Must be able to multi-task, work in a fast-paced office, and work with multiple priorities and deadlines by using outstanding organizational skills.


    Responsibilities:

    •Define, implement, and evaluate marketing and advertising strategies.

    •Assist in the development and execution of communication and marketing material for events, lotteries and appeals.

    •Assist with creating and publishing regular updates and maintenance of the website, social media platforms and in-house channels.

    •Monitor all social media platforms for trending news, ideas, and feedback. 

    •Support the promotion and delivery of fundraising events through participant recruitment, sourcing giveaways, working with volunteers, assisting with event execution, cultivation of in-kind donation items as well as database management.

    •Maintain and execute bi-weekly 50/50 lotteries including sales, handling of money, and tracking of ticket sales.

    •Perform general office duties as required.


    Candidate Criteria

    •Candidate must be a new entrant into the workforce, are transitioning to a new career, or the unemployed or underemployed who are entering a new field.

    •Candidate must have not previously participated in an NOHFC funded internship in the 2020 Mandate.   

    •Candidate must be 18 years of age or older.

    •Candidate must be legally eligible to work in Canada. 

    •Once hired, the candidate must reside in the Northern Ontario community in which they are employed.

  • Personal Support Workers

    The Ontario Finnish Resthome Association is currently recruiting for Personal Support Worker (PSW.)  The successful candidate will provide care services to residents and assist with activities of daily living.


    The qualifications for the Personal Support Worker position are:


    • Personal Support Worker or Healthcare Aide
           Certificate.

    • Minimum 2 years experience in long-term care.

    • Ability to work well independently and in team
           environments

    • Compassionate and understanding

    • Demonstrated strong interpersonal skills.

    • Ability to communicate in the Finnish language
           and knowledge of the Finnish culture is an
           asset.

  • RPN

    Position Summary

    Under the direction of the Executive Director of Care and the Assistant Director of Care (MKK) or the Manager of Kotitalo Assisted Living (Kotitalo), the Registered Practical Nurse (RPN) is responsible for providing nursing care, including administering medication and treatments, to assigned residents, consistent with the standards of nursing practice, the MOH guidelines, MOH-LTC guidelines (MKK) and the Ontario Finnish Resthome Association’s (OFRA) policies and procedures. The RPN (along with the Registered Nurse [RN]) is also accountable for ensuring that unregulated care staff provides appropriate care. The RPN works collaboratively with other members of the health care team in order to provide quality care to residents.


    Qualifications

    • Current certificate of competence from the College of Nurses of Ontario.
    • Documented proof of successful completion of a medication administration course.
    • Demonstrated relevant experiences and/or understanding of the care requirements for senior in long-term care settings.
    • Demonstrated strong interpersonal skills and leadership skills.
    • Excellent verbal and written communication skills.
    • Ability to communicate in both English and Finnish or Estonian is an asset.
    • Current CPR certification.

  • Registered Nurse (RN)

    Qualifications

    · Current Certificate of Competence from the College of Nurses of Ontario and current PLP.

    · Bachelor of Science in Nursing is an asset.

    · Strong working knowledge and proficiency in relevant computer applications (i.e. Microsoft Office: Word, Excel, Outlook, nursing care plan software applications, i.e. Point Click Care etc.).

    · Leadership experience and extensive knowledge of care requirements for seniors in long-term care settings.

    · Customers’ services experience is an asset.

    · Demonstrates a strong sense of leadership, team building, interpersonal dynamics, and problem solving including conflict resolution skills.

    · Current CPR.

    · Fully vaccinated with approved COVID-19 vaccine & willing to adhere to IPAC recommendations with the any following vaccines.

    · Ability to communicate in the Finnish and/or Estonian language is an asset.

    · Must be able to motivate and direct the care team.

    · Must relate to people of all ages and levels, both professional public.

    · Must have sound critical thinking and resource management skills.

    · Must be able to commit and achieve repeated deadlines.

    · Excellent verbal and written communication skills.


    Responsibilities

    1. Provides clinical oversite to care staff (e.g. RPNs, PSWs) during shifts, to ensure that the residents’ needs are met and unit activities carried out.

    2. Facilitates resolution of care staff issues, including intervening and reporting of interdepartmental conflicts that may occur during the shift.

    3. Ensures that appropriate action is taken for work-related injuries and other employee incidents that occur during the shifts. Informs management of incidents as soon as possible.

    4. Ensures ADOC/EDOC is notified on any performance or safety issues in writing.

    5. Replaces care staff, where necessary, in the absence of the scheduling clerk.

    6. Authorizes shift exchanges that are urgently needed.

    7. Seeks direction from ADOC/EDOC for the authorization of overtime.

    8. Provides input to the EDOC into the acquisition or purchase of supplies and other equipment needed for resident care.

    9. Ensures that appropriate action is taken for equipment failures during the shift.

    10. In the absence of clerical support, completes or ensures that the appropriate clerical activities are performed.

    11. Communicates relevant information to oncoming care staff through a taped report, where required.

    12. Completes the section relating to her shift on the 24-hour report and submits the completed report to the ADOC/EDOC on the following day.

    13. Establishes regularly scheduled MKK Unit meetings with care staff meetings during the shift and chairs the meetings.


    Nursing

    1. Assesses, plans, implements and evaluates care provided by him/herself and other staff to ensure that standards of nursing practice, the MOH LTC’s guidelines and OFRA’s policies and procedures are maintained.

    2. Completes the admission profile of residents and the discharge of a resident.

    3. Ensures that an interdisciplinary care conference is scheduled annually for each resident and chairs the meeting. Also, schedules additional care conferences to address specific resident-related issues, as the need arises.

    4. Assesses the need, on a daily basis, for continuing to restrain identified residents. .

    5. Ensures that appropriate action is taken for any resident-related incident (e.g. injuries, medication errors) that occurs on her shift.

    6. Acts as a liaison between the residents, their physician and other providers (e.g. physiotherapist, dietician, external clinics, etc.) Assists the attending physicians during their visits with residents.

    7. Manages infection control issues on her/his shift and ensures that the appropriate action is taken on the unit following the issue.

    8. Acts as a liaison between the residents and other OFRA services (e.g. food services, laundry and housekeeping services). Refers issues to the ADOC/EDOC, where necessary.

    9. Facilitates resolution of resident/family conflicts and issues. Refers the issues to the ADOC/EDOC, where necessary.

    10. Ensures accurate and complete documentation by care staff.

    11. Completes accurate resident records and other reports (e.g. scheduled chart reviews, death reports) in accordance with the standards of nursing practice, MOHLTC’s guidelines and the policies and procedures of the OFRA.

    12. Ensures that relevant practitioners complete annual physicals, 3-month medication reviews and quarterly summaries.

    13. Reviews and cosigns the new MAR sheets after the RPN’s initial check.

    14. Ensures that registered staff complete the narcotic count at the beginning and end of each shift and witness the drug destruction process.

    15. Provides PRN health teaching to care staff about the residents’ health conditions and needs to ensure that staff takes an appropriate approach with the residents.

    16. Participates in Nursing practice meetings.

    17. Maintains regular communication with the ADOC/EDOC, including consultation with the EDOC on issues that affect staffing, or that pose a risk to the organization (e.g. resident safety)

    18. Continue his/her professional development, as per College of nurses of Ontario quality assurance standards, through continuing education opportunities.

    19. Other duties as assigned by the ADOC/EDOC.

    I have been with The OFRA for 22 years, working as the MKK unit clerk, the USK leasing agent and currently in the role of purchasing and marketing for the past 8 years. Being of Finnish decent with a strong desire to maintain my heritage, brought me to OFRA and I am grateful that I can be a part of it! I love what I do and it gives me such a great sense of satisfaction! It's very rewarding to see the growth of our presence in the community as well,  and to be of service to the residents and my co-workers.
